INTRODUCTION
To help you understand our responsibilities to you and your responsibilities to us, please read these terms and conditions. We’ve tried to make the language we use as clear as possible. If you have any questions, a member of our team will be happy to help you.
These terms and conditions apply to all residents and at all times.
PART A – TERMS AND CONDITIONS
1 Responsibilities of residents
Only residents currently living at St Mary’s Garden Village are eligible to book the facilities.
2 Entry
- Access codes to the hub/gym will be provided to each household
- Your code is personal to your household and you cannot transfer/lend it to another person. To protect residents, you may be asked to provide another form of identification before entry is allowed

e We may make reasonable changes to this agreement, to these terms and conditions and to the
rules and regulations displayed, at any time, as long as we give you notice before any changes.
3 Making changes to the hub or its facilities, services and activities
- We have the right to increase, reduce or withdraw certain facilities, services or activities either permanently or temporarily (for example, to carry out cleaning, repairs, maintenance or security work).
- If we decide to make any other change to the facilities, services and activities available, we will give you notice by displaying the notice on your club’s noticeboard if this is reasonably
- We will display details of the opening and closing times for the hub building. Opening times may vary during the Christmas period and on other bank holidays. 4 Complaints

5 Liability
- We do not accept liability for damage or loss to your property that may happen on the premises or within the grounds of the hub, other than the liability which arises from negligence or failure to take reasonable care.
- We do not accept liability for the injury or death of any member, child or guest that may happen on the premises or within the grounds other than the liability from negligence or failure to take reasonable care
- You are liable for the costs of repair of any damage (including accidental and malicious damage) done to any part of the premises, as well as all claims, losses, damages and costs made against us or incurred by us in respect of damage or loss of property or injury to persons arising as a result of hire of the premises
- Nothing in these terms and conditions is meant to limit any rights you might have
6 Data protection
a We will deal with all information we hold about you in line with our privacy policy. If you want to know what information we hold about you, or you want us to correct any information we hold about you, the appropriate procedures are set out in our standard privacy policy.
7 Children/Age Restrictions
- The minimum age for use of the gym is 16 years old. You must be over 18 years old to hire the hub building
8 Music/Film Copyright
We do not hold licenses under Performing Right Society (PRS) or the Phonographic Performance License (PPL). This is the responsibility of the hirer along with any copyright licenses relating to the showing of films
PART B – RULES AND REGULATIONS
1 General health and safety
- No crockery or glass is to be brought to the hub gym
- We do not allow animals (except for assistance dogs) in the hub.
- To protect the safety of all hub users, you must pay particular attention to all signs relating to health and safety. If you do not understand a notice or sign please ask the caretaker
- Fire exits are clearly marked throughout the building. If there is a fire or if you hear the fire alarm, you should make your way out of the hub through the nearest possible exit to the advertised assembly point in the car park.
- If you suffer an accident or injury on our premises, you must report it and the circumstances under which it happened to the caretaker immediately who will assist and also record the incident.

3 Gym and fitness facilities
- You should not take part in any physical activity that you may not be fit You are responsible for monitoring your own condition during physical activity.
4 Hub Bookings
- The current booking process is available on our website at stmarysrossonwye.com and through the app. All hall bookings should be made via the app and secured with the fee due. On occasion we may ask for an additional deposit. Deposits will be refunded by the caretaker once all facilities have been checked for damage. Bookings can be cancelled but no refund is given unless there are extenuating circumstances
- We may change our booking processes from time to time and we will tell you about any changes
- Hire Fees – minimum hire period 2 hours ; payable at time of booking
Please quote the name under which you are booking the hall as a reference - The hiring charges cover the use of the facilities and their on-going upkeep. Hirers
are requested not to affix items such as decorations or notices to the walls or ceilings - In case of deposits taken, we will refund the deposit within 14 days of the event provided that no damage or loss has been caused to the premises and/or contents, nor complaints made to us about noise or other disturbance during the period of the hiring
- By accepting these T&Cs you agree not to exceed the maximum permitted number of people of 55 seated, 90 standing, 2 kitchen and 4 gym
- You agree to be present at the event booked and to comply with all conditions
- All equipment and other property must be removed at the end of each hiring period

5 Photographs and videos
- You may take photographs and video recordings for your own personal You must not take photographs or videos of any children under 18 other than your own
- Anyone who appears in your photographs or videos must be aware that you are filming them and you must get their permission first
- If another user is unhappy that you are filming them and makes a complaint to us, we may ask you to show us any images which you have taken in the hub and to delete them if appropriate
